How to invite candidates to Byteboard CoreEval via Greenhouse

Byteboard recommends sending all candidate CoreEval invitations via Greenhouse integration (versus sending via Invite tab in Byteboard portal) following integration.

 

Doing so ensures that Byteboard CoreEval interviews will be linked to candidate records in Greenhouse and that the automated data flows will not be interrupted. Any Byteboard invitations that are intiated outside of Greenhouse will not be tracked in your ATS or connected to the Greenhouse candidate record. All Next Steps, Offer Status, and other data will need to be manually updated in Bytebaord.

Updating “Who Gets Credit” field in Greenhouse

The Who Gets Credit field in Greenhouse is mapped to Invite Sender in Byteboard. Ensuring the Who Gets Credit field is accurate and updated, allows you to accurately track who is sending Bytebaord invitations via Greenhouse. If the Who Get Credit field is empty in Greenhouse, Invite Sender in Byteboard will be blank.

 

To update the Who Gets Credit field in Greenhouse prior to sending a CoreEval:

  1. Select the candidate record and click edit icon. An Update Source window will pop-up.

Inviting candidate to CoreEval via Greenhouse

Once the Who Gets Credit field has been updated, you can send an invitation to a CoreEval. To invite a Candidate to CoreEval interview:

  1. Move the candidate to the Byteboard Interview stage.
  1. Select the Send Test link to initiate a CoreEval interview invitation.

  1. A Send Test window will popup.
      • Under Test, select the interview type you’d like the candidate to receive
      • Under Who should grade it?, select the user who should be notified when the test (CoreEval) results are completed.

  1. Select Send Test to invite candidate to take Byteboard.
 

When you Send Test from Greenhouse, CoreEval interview instructions are still sent via Byteboard. You will be able to view candidate details via the Candidates Tab.

Reviewing candidate CoreEval via Greenhouse

Once a candidate has been invited to a CoreEval interview, you’ll be able to view the status of interview via Greenhouse.

Following candidate completion of the CoreEval interview, the Interview Kit will contain a link to view the submitted interview from Byteboard. Note, the View Report link will redirect you to the candidate report on client.byteboard.dev.

As a candidate moves forward through the interview process in Greenhouse, the Next Steps and Offer Status details will automatically populate in Byteboard. All Next Steps and Offer Status changes will correspond to integration settings you established.

  • If a candidate is moved into a stage configured for TPS or Onsite (See Section 3 Steps 3 and 4 above), their Next Steps column will update based on the configuration of their current stage.
  • If a candidate is moved into a stage configured for Offer, (See Section 3 Step 2 above), their Offer Status column will update to “Offer Made”. The Next Steps column will remain as set previously or be set to “n/a” if no previous information exists.
  • If a candidate is archived with a “rejected” reason type:
    • Before being moved to an Onsite or TPS stage, Next Steps is set to “Rejected” and Offer Status is set to “n/a”
    • After moving to an Onsite or TPS stage, Next Steps are left as is and Offer Status is set to “No Offer”
  • If a candidate is archived with a “withdrew” reason type:
    • Before being moved to an Onsite or TPS stage, Next Steps is set to “Withdrew” and Offer Status is set to “n/a”
    • After moving to an Onsite or TPS stage but before being moved to Offer stage, Next Steps are left as is and Offer Status is set to “Withdrew”
    • After moving to an Offer stage, the Offer Status will be set to “Offer Declined”
